Exporting Grid View Record Data into an Excel File
Downloading Mobile MMS data through the Grid View into an Excel format is an extremely efficient and useful tool in data collection and exportation. Since the tool downloads the data that's currently shown in the grid view, then it can be coupled with the available data filtration tools to become a very versatile way to extract information.
How to Navigate to the Grid View
Once in the map tab of Mobile MMS, to get to the grid view you need to click the button displayed with a three-by-three square on it, located in the top right of the screen to the direct left of the green details button.
How to Download Data Displayed by the Grid View
Once in the Grid View, to download the data currently being shown you can click the button displayed in the top right of the grid with an Excel logo.
After clicking it, you'll then be prompted on whether you'd like to include the metadata(creation date and user, last modified date and user) associated with the records.
After answering, the excel file will begin uploading directly to your downloads folder, usually accessed in the top right corner of your browser or in your file explorer.
Here is an example of the resulting excel sheet, showing all record data from the selected form, through the selected filters. If none are selected(as in this example) then all record data is shown for the selected form.
Filtering Data in Grid View for Export
There's three main ways to filter data in the grid view to change the data being downloaded,
- Change the form that's being viewed.
- Toggle the "Only Open" button in the top left above the form names, if turned off then closed records will also be displayed.
- Use the Basic Filter menu to filter out specific values, or only show values in a range.
- Using the Advanced filter, which allows you to dictate whether the logic being used between certain filters is "And" or "Or".
To access the Basic or Advanced filter, click the magnifying glass button displayed in the top left of the grid.
After clicking the magnifying glass button you'll see the Basic filter menu, then to get to the advanced filter you can click the button displayed with "Advanced Filter".
